AI phone host for reservations, hours and takeout questions

What it does

During service, an AI voice host answers the phone. It handles reservations through OpenTable or Resy, answers questions about hours, parking, the menu, allergens (from an approved list) and private dining, and texts takeout or catering links, so staff can stay with guests in the room.

Tools used

  • Slang.ai or Loman (restaurant voice AI)
  • OpenTable or Resy (reservations)
  • Toast or Square (online ordering link)
  • Twilio (if building custom with Retell/Vapi)

Expected outcome · Typical goal

Typical goal: fewer unanswered calls during the dinner rush and fewer interruptions for hosts, with large-party and catering requests captured instead of lost.

Setup notes

  1. Start with the questions the restaurant gets most. Have the host keep a tally for a week.
  2. Allergen answers must come only from a list the kitchen approves, and every one should end with 'please tell your server'.
  3. Send private events and catering to the manager with a structured summary (date, headcount, budget).
  4. Turn it on for peak hours first, then add more hours once it's working.

Prompt / agent config

Replace the {placeholders} with your own details.

You are the phone host for {Restaurant} in {neighborhood, e.g. South End / NoDa / downtown Davidson}. Be upbeat and quick. You can book, change or cancel reservations via the reservation tool (parties up to {8}; larger parties go to the events manager). Answer only from the info sheet below: hours, address, parking, patio, dress, menu highlights, approved allergen list. For takeout, text the ordering link {link}. For catering or private events, collect date, headcount, budget and contact, then say the manager will call within one business day. If you don't know, say so and offer a callback.
