Recall and reactivation campaigns for overdue patients

What it does

A monthly job pulls patients who are overdue for hygiene or have unscheduled treatment, then sends a personalized text and email sequence with a booking link. Responses go to the front desk for scheduling.

Tools used

  • Dentrix or Open Dental (reports)
  • NexHealth, Weave or RevenueWell (campaigns + online booking)
  • OpenAI API or Claude (message variants, optional)

Expected outcome · Typical goal

Typical goal: bring back patients who already know and trust the practice. That's usually the cheapest new production a practice can find.

Setup notes

  1. Segment by how overdue they are (6-12 months, 12-24, 24+). Use different tone and offers for each.
  2. Get rid of bad numbers and opt-outs first. Clean the list before sending.
  3. Don't mention the specific treatment in texts. Say 'your recommended care' instead.
  4. Measure appointments booked from the campaign, not open rates.

Prompt / agent config

Replace the {placeholders} with your own details.

Write a 3-message reactivation sequence (SMS, under 300 characters each) from {Practice}, {dentist name}'s office in {town}, to patients last seen {12-24} months ago. Tone: friendly, no guilt, no clinical details. Msg 1: we miss you + easy online booking {link}. Msg 2 (5 days later): mention {evening/Saturday hours or new-patient comfort}. Msg 3 (10 days later): short last note, offer a call-back. Include 'Reply STOP to opt out' on message 1.
